[Abstract / Introduction]
Students and staff often lose personal items (ID cards, phones, keys, bottles, laptops) on campus. There is no efficient way to report lost items or return found ones. Current methods like WhatsApp groups, notice boards, and security registers
are slow and scattered. CampusEase is a web-based Smart Lost & Found System. It allows users to report lost items, log found items with photos and locations, and receive automatic match suggestions. After a potential match, users can chat securely to verify ownership.
[Actors & Their Roles]
1. Normal User (Students & Faculty)
• Register with university email. Report lost items. Browse/search found items. Submit claim requests with verification answers. Chat anonymously after claim approval. Flag fake reports. Mark resolved items. Renew expired lost reports.
2. Security / Admin
• Log found items. Update found item status. Approve/reject claims. Monitor all reports and dashboard (statistics, hotspots). Remove fake reports. Export PDF/Excel reports. Move unclaimed items to Donated/Disposed after 60 days.
3. Super Admin
• All Security/Admin permissions. Manage user roles. View system logs. Configure system settings (match sensitivity, expiration timelines). Override disputes. Access full analytics.
[Functional Requirements]
1. Authentication & Authorization
• University email-based registration.
• Three roles: Normal User, Security/Admin, Super Admin.
2. Lost Item Reporting
• Submit: item name, category, color, brand/model, date/time, location,
optional photo, description.
• Status: Pending → Matched → Resolved → Closed.
• User can mark as resolved.
3. Found Item Logging
• Submit: item details, multiple photos, storage location.
• Status: Unclaimed → Claim Pending → Claimed → Transferred to Admin.
4. Smart Matching Engine
• Automatic matching by keywords, color, location proximity, date range.
• Displays match confidence (%).
• Manual search/filter by category, location, date.
5. Claim & Verification
• User submits claim request.
• Claimant answers verification questions.
• Security/Admin approves claim.
• Claim status: Pending Approval → Approved → Rejected → Completed.
6. Secure Communication
• Temporary anonymous chat after claim approval.
• Personal contact info hidden until both parties agree.
7. Notification System
• In-app alerts for matches, claim requests, status changes, daily/weeklydigests.
8. Dashboard & Analytics (Admin)
• Overview: active reports, pending claims, resolution rate.
• Most commonly lost items.
• Hotspot analysis (by location).
• Export PDF/Excel reports.
9. Moderation & Safety
• Users can flag fake/inappropriate reports.
• Lost reports expire after 30 days (renewable).
• Unclaimed found items → Donated/Disposed after 60 days
